When digital data is stored, it is lumped into files for storage. This retains the potential for future reanimation and access by applicable computer programs. Using files as a method of data storage has over 60 years of history. They are considered a technologically advanced version of paper documents, which are still used in some parts of the world. Digital file storage has the benefit of malleability, as the files can re-accessed and edited, a feature which is lacking in the hardcopy.


Using online file storage to protect files from succumbing to the damage that might befall the computers themselves, like theft or flooding damage, is a very popular choice for business managers, as it allowed for backup storage of the data in a remote location.


While digital files are still at risk for corruption, they are spared the gradual wear that faces paper files. Making their archive records digital is a cost-cutting technique that many businesses turned to in order to eliminate the costs of the storage facility. On top of the extreme reduction in physical space requirements, digital files are also often reformatted to be compressible still further. This usually renders them unreadable, and is usually done only for archival reasons. Files that can still be manipulated are referred to as write files, while those where input cannot be changed are called read-only files. In order to retrieve the data, the files must be extracted again. Digital files have the benefit of being of unlimited size, which is measured in bytes. One byte is said to be the equivalent of the amount of information it takes to encode one text character, but different applications require different amounts of information to accomplish this task.



Files are designated appropriate applications to reopen them, which is usually found in the form of a file extension. The application depends on the format of the information. A text document will, for example, end in .txt, telling the computer that the file requires a word processing program in order to be read. Most files provide the user with the option to name, as well as sort them using containing folders to mimic to earlier organization of the filing cabinet.
